Calendar & availability Built
VenueDirector’s calendar shows every space on one calendar, with availability and conflict checks, so booked and available days sit in one place. Occupancy reporting is not built yet.
Get early accessHow is venue occupancy rate calculated?
- Occupancy = days booked ÷ days available to book, as a percentage. Days available are all the days the space was open for bookings, including the booked ones, so days booked can never be more than days available. A day that cannot be sold is in neither number.
- Overall occupancy adds the days booked and the days available of every space, then divides once. It is not an average of the spaces’ percentages, so a space with more days counts for more.
- Monthly view works the same way, using the space-days booked and available you enter for each month, with every space counted together. Months left at 0 are skipped.
A space with no days available is left out rather than counted as 0%. Percentages are rounded to one decimal place when shown.
What are the starting assumptions?
The calculator opens with an example quarter for three spaces so you can see a result. The days are placeholders, not market data or benchmarks, and every one is editable. It does not say what a good occupancy rate is: the useful comparison is your own, one period against another and one space against another.
Count days the same way every time. A day booked is a day with an event or a hold; days available are every day you could have sold, booked or not. Leave out days you could not sell, such as a closure for repairs.
Worked example
Ballroom was booked 54 of 90 available days, so its occupancy is 54 ÷ 90 = 60%. Across all spaces the example venue was booked 117 of 270 available days, an overall 43.3%:

Frequently asked questions
- How do you calculate venue occupancy rate?
- Occupancy rate is days booked divided by days available to book, as a percentage. Days available are all the days the space was open for bookings in the period, including the booked ones. A space booked 54 of 90 available days has an occupancy of 54 ÷ 90 = 60%.
- What counts as a day booked and a day available?
- A day booked is a day in the period when the space had an event, or was held for one. Days available are all the days it was open for bookings, booked or not, so days booked can never be more than days available. Leave out days you could not sell, such as a closure for renovation, so they do not lower the rate. These are your definitions: count the days the same way each time so periods compare fairly.
- How is overall occupancy calculated for several spaces?
- The calculator adds the days booked and the days available across all spaces, then divides once. It does not average the spaces’ percentages, so a space with more days counts for more.
- What is a good occupancy rate for an event venue?
- This calculator does not say and has no benchmarks. The useful comparison is your own: this period against the same period last year, one space against another, and peak months against slow ones.
- How does the monthly view work?
- Enter the space-days booked and available for any month, counting every space together. A venue with three spaces has up to 93 space-days in a 31-day month. Months you leave blank are left out. The monthly numbers are calculated on their own and do not have to match the spaces above.
- Is anything I type sent to VenueDirector?
- Your numbers stay in your browser, which also remembers them for next time. We count anonymous events such as “a result was exported”, without your inputs or anything that identifies you. Your inputs and email are stored only if you ask us to email your results.
