Inquiries in one place Coming next
VenueDirector is being built to keep inquiries, dates and proposals together. Saved replies and sending from inside the app are coming next, so you will not need to paste from a document.
Get early accessHow do the reply templates work?
- Pick a situation. There are 10: date available, date taken, over budget, after-hours request, no reply after 3 days, corporate inquiry, tour follow-up, post-event thank you, first reply to a new inquiry, details needed to quote.
- Pick a tone. Warm and professional say the same things in different voices. Short is a few lines for a quick answer.
- Fill in your details. Each value is filled in everywhere its
[field]appears. A field you leave empty stays highlighted. - Copy or download. “Copy email” copies the one you are looking at as plain text. The PDF and Word files hold every situation in all three tones.
The merge fields are [first_name], [venue_name], [your_name], [phone], [event_type], [event_date], [guest_count], [alternate_dates], [budget], [tour_link], [booking_link]. If your email program has mail merge, the highlighted ones are the blanks to map.
What is in the example, and what is yours?
The page opens with an invented venue. The Larkspur and Sam Rivera are not real, and the phone number is a made-up one. Everything else starts empty so you can see the highlighted fields. The wording is a starting point to change, not advice on what to promise a client:
- The templates quote no prices, deadlines or policies. Add your own.
- They do not say how fast you will reply, so do not promise it unless it is true.
- Your details stay in your browser and are used to fill the text on this page.
Worked example

Frequently asked questions
- What situations do these templates cover?
- Ten: a date that is available, a date that is taken, a budget that is too low, a request for after-hours timing, a follow-up after three days of silence, a corporate inquiry, a tour follow-up, a post-event thank-you, a first reply to a new inquiry, and a request for the details you need to quote. Each comes in a warm, a professional and a short version.
- What are the highlighted [fields]?
- Merge fields, such as [first_name] or [event_date]. Type a value in the form and it is filled in everywhere it appears. Leave one empty and it stays highlighted, so you can fill it in by hand or with your email program’s mail merge before you send.
- Does it send the emails for me?
- No. This free tool writes the text. You copy it into your own email, or download the set as a Word file or PDF. It does not send, schedule or watch your inbox.
- Do the templates mention prices or policies?
- No. They say only what you type into the fields. Add your own prices, deposit terms and policies when you edit the email, and check them before you send.
- Is anything I type sent to VenueDirector?
- Your details stay in your browser, which also remembers them for next time, and the downloads are built there too. We count anonymous events such as “a document was downloaded”, without your text. Your details and email are stored only if you ask us to email you a link back to them.
