How is the client’s total calculated?

  1. Service charge = food and beverage subtotal × service charge %.
  2. Gratuity = food and beverage subtotal × gratuity %, if you enter one.
  3. Sales tax = the taxable amount × tax rate. The taxable amount is the subtotal, plus the service charge if you say it is taxed. Gratuity is not taxed here.
  4. Client total = subtotal + service charge + gratuity + sales tax.

Each line is calculated in whole cents and rounded to the nearest cent once. The total is the sum of those lines, so the bill always adds up. If you choose “Not sure” for the service charge, you see the bill both ways and the difference between the two totals.

What do service charge, gratuity and sales tax mean?

Service charge
A fee the venue or caterer adds to the bill, usually a percentage of the food and beverage subtotal. The venue sets it, and it is part of the price the client agrees to.
Gratuity
A tip for the people who worked the event. It is normally the client’s choice, in whether to give it and how much. In this calculator it is optional and starts at 0%.
Sales tax
A tax collected on a sale and passed on to the government. The rate depends on where the event is. Whether it applies to a service charge, and to a gratuity, depends on local rules.
A taxed service charge
When a service charge is taxed, sales tax is worked out on the subtotal plus the service charge, so the client pays tax on the fee as well. When it is not taxed, tax is worked out on the subtotal alone.

Tax rules vary by state, and sometimes by city or county. The tax rate and whether the service charge is taxed come from you; this calculator makes no claim about any jurisdiction. Confirm the rules for your location with your accountant or your tax authority, and describe each charge on your contract and invoices the way the rules require.

What are the starting assumptions?

The calculator starts from placeholders, not market data or advice, and every one is editable:

  • A subtotal of $10,000.
  • A service charge of 20%.
  • No gratuity (0%).
  • A sales tax rate of 8%, an example only.
  • The service charge’s tax status as “Not sure”, so both bills are shown.

Worked example

With the starting assumptions, the client’s total is either of these:

If the service charge is taxed
ItemAmount
Food and beverage subtotal$10,000
Service charge (20%)$2,000
Sales tax (8% of $12,000)$960
Client total$12,960
If the service charge is not taxed
ItemAmount
Food and beverage subtotal$10,000
Service charge (20%)$2,000
Sales tax (8% of $10,000)$800
Client total$12,800

Tax rules vary by state, and sometimes by city or county. The tax rate and whether the service charge is taxed come from you; this calculator makes no claim about any jurisdiction.

Frequently asked questions

What is the difference between a service charge and a gratuity?
A service charge is a fee the venue or caterer adds to the bill, set by them and charged to every client. A gratuity is a tip, and is normally the client’s choice. How each is treated for tax, and what happens to the money, depends on where you are and how the charge is described, so check your local rules.
Is a service charge taxable?
It depends on the state and sometimes the city, which is why this calculator asks. Choose Yes or No if you know the rule, or Not sure to see the bill both ways and the difference. Confirm the answer with your accountant or your state’s tax authority.
Is gratuity taxable?
The calculator treats gratuity as a voluntary tip and does not tax it. Rules vary, and a charge that is automatic or mandatory may be treated differently from a true tip. Confirm with your accountant or your state’s tax authority.
Is sales tax charged before or after the service charge?
The calculator charges tax on the food and beverage subtotal, and also on the service charge if you say the service charge is taxed. It does not tax gratuity. It does not know your jurisdiction’s rules, so the tax rate and the taxed-or-not choice come from you.
Does the calculator know my state’s tax rules?
No. Tax rules vary by state, and the calculator makes no claim about any state. The tax rate it starts with is a placeholder to replace with your own.
How is the total rounded?
Each line is calculated in whole cents and rounded to the nearest cent once, and the total is the sum of those lines, so the itemised bill always adds up to the total exactly.
